    The HRA manages HRIS information and data entry for all new hires, end of employment items, status changes, and file maintenance for active and inactive personnel files and recruitment files. The Human Resources Assistant is responsible for all aspects of benefits administration, including benefit/vendor events planning, life status change employee correspondence and processes, onboarding and off-boarding of benefits, monitoring the WPU flexible spending account, etc.  The HRA will assist the Senior Human Resources Manager in the implementation and administration of the WPU benefit program, as it relates to annual open enrollment and the WPU Work Life Balance Wellness Program, but will manage all other benefit administration items and make recommendations, if necessary, for new or revitalized employee benefit programs.  Currently, WPU’s benefits include health, dental, telemedicine, vision, medical and dependent care FSA, short and long term disability, life and AD&D, voluntary benefits, retirement, etc.  The Human Resources Assistant will also assist the Senior Human Resources Manager with hours tracking for ACA annual reporting requirements.  Maintaining confidential staff and faculty files and a high level of integrity within the Office of Human Resources is paramount to being successful in this role.  The ideal candidate will be eager to and will have the ability to communicate well with a diverse work force and student body, to focus and pay attention to detail, to research and locate answers, and to multi-task and prioritize in a very busy and fast paced office.   • Executive Assistant to the President
    William Peace University, a vibrant and diverse independent institution in Raleigh, NC, seeks applicants for a full-time, exempt-level Executive Assistant to the President with an anticipated start date of early May 2017.  The Executive Assistant to the President is a critically important role, enabling the President to work most effectively with internal and external stakeholders.  This position serves as a member of the Senior Leadership Team (Vice President for Academic Affairs, Vice President for Administration/CFO, Vice President for Advancement, Vice President for Enrollment Management and Marketing, Vice President for Student Life) and requires a combination of focus and flexibility. As this position will perform duties of a sensitive and confidential nature; discretion and discernment are key to being successful in this role.  WPU is under the leadership of Dr. Brian C. Ralph, who assumed office in August, 2015.  The institution is in a season of exciting change and is currently undertaking a comprehensive strategic planning process.

    Essential Duties and Responsibilities Include:

    1. Presidential support – Manages President’s overall calendar, schedules appointments, and meeting rooms. Handles multiple forms of communications including drafting correspondence, speeches and presentations. Handles President’s travel and accommodation arrangements.  Opens, sorts, and screens mail, answers and screens telephone calls, relays messages, and greets visitors.  Acts as point of contact for external groups.  Works closely with the Office of Advancement regarding external relations and philanthropic outreach.  Assists President in work with student and employee engagement as well as issue resolution and problem solving.
    2. Strategic engagement and follow-up – Works closely with the President on monitoring the implementation of key initiatives. Independent leadership of special President-initiated projects is also a possibility.  The ideal candidate will proactively identify issues that could impact the successful execution of the President’s commitments.
    3. Board management – Serves as key contact for all Boards. Facilitates communications, meeting agenda, mailings and packet preparation for all Board of Trustee and Foundation Board meetings and business.   Serves as Recording Secretary for all Executive Committee, Board of Trustees, and Foundation Board meetings; prepares minutes for distribution and approval at next meeting.  Manages Board meeting calendar and makes arrangements for all meeting rooms, catering, and logistics for Board related sessions. Maintains all Board listings and prepares Trustee Handbook for new trustee orientation. Maintains website for all meeting documentation, posting final agenda materials for Board meetings.
    4. Senior Leadership Team (SLT) – Works closely with other members of the SLT including creation of agenda for weekly meetings, problem solving issues, providing minutes for regular SLT meetings, and participates in the development of university policies, procedures and priorities. Supports the needs of the leadership staff in their ability to raise critical issues with the President and receive needed responses, guidance and decisions.
    5. Office management – Maintains all office records and is responsible for managing the budget of the Office of the President. Maintains vacation records for those reporting to the President.  Operates and maintains office equipment such as copier, printer, and fax machine.  Completes all purchase requisitions and work orders for administrative needs in the President’s Office.  Tracks President’s travel receipts and reconciles President’s William Peace University credit card monthly, and reports quarterly expenses to Board Chair for approval.  Maintains all supplies for the President’s Office.

  • Advancement Services Specialist
    William Peace University, a vibrant and diverse independent institution in Raleigh, NC, is seeking applicants for a full-time Advancement Services Specialist. This position is an essential member of the University Advancement team, and is responsible for database management, advancement reporting, prospect management, gift processing, data integrity and data security in support of WPU’s overall mission. The Advancement Services Specialist develops and implements data and gift-entry procedures, produces reports and mailing lists for departmental and university-wide use; and contributes to the execution of advancement strategies. The Advancement Services Specialist reports to the Vice President, University Advancement. WPU is under the leadership of Dr. Brian C.     Essential Duties:

    • Support WPU and University Advancement strategies in all activities and assist the VP of University Advancement to plan, organize, and implement annual departmental goals and objectives.
    • Manage the overall donor/alumni database, currently Raiser’s Edge (RE), including data entry/management, gift processing, prospect research, data output/reporting and training to continually improve the quality of alumni and donor data.
    • Develop procedures to ensure the integrity and security of database information.
    • Conduct prospect research and analytical report generation along with implementation of the donor prospect management process including identification, tracking, and acknowledgement.
    • Manage data and gift-entry for records so that the processing, tracking, reporting and acknowledgement of donations are performed in accurate and timely fashion; ensure that the data derived from these activities is accurate, up-to-date and accessible.
    • Input new or updated information into the database as needed.
    • Ensure data accuracy; Coordinate with IT on the reconciliation of RE and Colleague Data.
    • Identify, develop, implement and maintain database policies and procedures related to all fundraising activities to ensure compliance and best practices.
    • Produce targeted mailing lists for communications, solicitations, invitations, etc., for University Advancement staff.
    • Facilitate prospect research and analytical report generation along with implementation of the donor prospect management process including identification, tracking, and processes.
    • Work with Advancement colleagues to support overall donor stewardship plan.
    • Extract information from alumni/fund-raising database to meet reporting and research needs of the Vice President for University Advancement and other Advancement staff; produce alumni and donor activity reports; answer surveys; manage subscriptions.
    • Ensure WPU has efficient, effective tracking systems to support prospect cultivation and solicitations.
    • Provide full services support for comprehensive campaign including tracking next steps, pledge commitments, solicitation strategy management and reporting.
    • Search for lost alumni. Investigate financial/biographical status of individuals, corporations and foundations.
    • Interface with finance department and accounting staff regarding gift entry, gift posting, fund creation, gift restrictions and audit reporting.
    • Build and maintain positive working relationships with team members, internal customers, and external vendors.
    • Assist in Advancement events as needed.
    • Identify risks to the organization within the department and discuss risk reduction options.
    • Contribute to the overall success of the University Advancement Office by working on special projects and performing all other duties and responsibilities as assigned by the Vice President for University Advancement.

    Knowledge, Skills and Abilities:

  • Wedding Program Coordinator

    William Peace University, a vibrant and diverse independent institution in Raleigh, NC, seeks applicants for a full-time Head Men’s Soccer Coach.  Responsibilities include but are not limited to: organizing and directing all daily operations; all aspects of coaching a regionally competitive Division III Men’s Soccer program; organize and direct the recruitment of prospective student-athletes; direct overall program planning and organization; adhere to USA South and NCAA rules and regulations; work within the framework of the Department of Athletics administration and coaches; communicate effectively with students, faculty, administration, staff and alumni; responsible for budget management, and administer all team travel.     Reporting to the Director of Athletics, the individual serving in this position is responsible for, but not limited to, the following duties as Head Coach for the Men’s Soccer team:

    • Provides leadership and supervision in all aspects of the Men’s Soccer program including, recruitment, retention, academic support, practice preparation, game strategy, alumni development, fundraising, and community service
    • Recruits student athletes who meet the University’s admissions requirements. Meets annual recruitment goals as developed annually by the Director of Athletics and Director of Admission , including the evaluation, contact, and establishing relationships with prospective student-athletes and coaches
    • Coordinates and outlines a complete recruiting yearly plan to identify quality student athletes
    • Mandatory attendance at all Admission open houses and scheduled orientations
    • Ensures compliance with all University, USA South Conference, and NCAA rules and regulations related to recruiting and academic monitoring for student athletes
    • Collaborates with the Sports Information Director for the positive promotion of the Men’s Soccer program. Areas included should be individual and team statistics, media guides, reports to NCAA, USA South Conference, individual accolades on and off the field and website updates
    • Ensures Department and University regulations are understood by and complied with by student athletes and coaching staff
    • Works closely with the Athletic Department and Advancement office in any fundraising activities that will directly impact the Men’s Soccer program or the Department of Athletics in general
    • Represents the University at athletics meetings pertaining to men’s soccer; including USA South Conference meetings and coaches convention
    • Coordinates a minimum of two (2) community outreach projects for the promotion of William Peace University athletics
    • Develops an annual operating budget and oversee the purchasing distribution and collection of all equipment
    • Displays a commitment to the principles of sportsmanship and ethical conduct as per the NCAA and USA South Conference
    • Performs planning, organization and execution for on the field coaching duties as described and direct all practice sessions and competitions.
    • Function in game day organization and assignments.
    • Evaluation of opponents and the development of a plan in accordance with each event
    • Attend all staff meetings as scheduled by the department.
    • Development of team expectations and policies.
    • Responsible for supervision, instruction and direction of student-athletes.
    • Develop, support, abide and enforce all academic guidelines and policies of the university, athletics department and program to insure academic progress of the student-athlete as directed by the department.
    • Support and work cooperatively with Sports Medicine/Athletic Training, Strength and Conditioning, Equipment, Student Life, Life Skills, NCAA Compliance, Media Relations etc. areas in accordance with department policies and procedures.
    • Direct all administrative functions of the program.
    • Perform duties with professional conduct, being fiscally responsible and with a commitment to student-athlete well-being.
    • Abide by all written policies, procedures and guidelines of William Peace University, the Department of Athletics, the National Collegiate Athletic Association (NCAA), and all applicable conferences or associations.
    • Build quality relationships and work collaboratively and professionally with athletics, Pacer Club and University staff, students, and all constituencies and stakeholders.
    • Be available to make appearances, perform media interviews, speaking engagements and support WPU Pacer Club activities representing the program and WPU athletics.
    • Perform other duties as assigned by the Director of Athletics
